Route new leads automatically

Admins can give new leads an owner, a starting stage and a first follow-up automatically. Routing applies to future leads only and never changes leads you already have.

Set up routing

  1. Open Settings, then Lead routing.

  2. Under Owner assignment, choose to leave new leads unassigned, assign them to one teammate, or Round robin between teammates you pick.

  3. Under Starting stage, choose whether to set a stage.

  4. Under Follow-up policy, choose whether to create a follow-up a number of hours after the lead arrives.

  5. Choose which sources routing applies to: Manual lead creation, CSV import, Public webforms.

  6. Use Test routing and Run test to preview the result, then save.

How it behaves

  • Routing applies only to new leads. It never changes leads you already have.

  • If a new lead already has an owner, stage or follow-up, those are kept.

  • A lead added by a teammate who only sees their own leads is assigned to that teammate first, so routing does not choose its owner. Routing can still set its stage and follow-up.

  • Recent automatic assignments are listed on the same page.

Tip

If some teammates only see leads assigned to them, routing is how they receive new leads without an admin assigning each one. See Who sees which leads.
