Duplicates, partial imports and importing again
An imported row is matched to an existing lead only when the phone number and the street address or owner name both agree. Matched leads are reused, not changed, so re-importing will not update them.
How Pipelio spots a lead you already have
During an import, a row matches an existing lead only when both of these agree:
a phone number (the last 10 digits), and
either the street address or the owner's name.
A phone number on its own is not enough, because several people can share a number.
What happens to a match
The existing lead is reused, not copied:
Its stage, list, owner and notes are not changed.
Any phone numbers from the file that the lead did not have are added.
When the import finishes, Pipelio tells you how many leads were already in your CRM and reused.
This means importing a file again does not update existing leads. If you need to correct many leads that are already in Pipelio, edit them on the lead or with bulk actions, or contact support.
If an import stops partway
| What you see | What to do |
|---|---|
| Import failed. Nothing was saved. | Nothing was created. Fix the file and import it again. |
| A message that some leads were imported before it failed | Some leads were created. Remove the rows that were already imported from your file, then import only the rest. |
| A message that the import is already running | Wait for it to finish before trying again. |
Duplicates that already exist
To combine leads that share a phone number, see Merge duplicate leads.

In Pipelio, open Support at the bottom of the left sidebar and send a message. Workspace admins can message support directly; other teammates should ask their admin. Include what you clicked, what you expected, and the exact words of any message you saw.
